FACILITIES MANAGER

The Playhouse Company, seeks to appoint a suitably qualified and experienced Facilities Manager to oversee the effective management of facilities, infrastructure, housekeeping, security and outsourced service providers at the Entity.

Reporting to the CEO/AD, the successful candidate will play a pivotal role in ensuring that all facilities are maintained to the highest standards, statutory compliance obligations are met, and a safe, secure and efficient environment is provided for staff, artists, audiences and stakeholders.

The suitable incumbent will be responsible for the undermentioned Key Performance Areas

Facilities and Infrastructure Management

· Ensure that all organizational infrastructure, plant machinery, and equipment are operating efficiently and effectively, and maintained in line with both quality and Health and Safety Standards

· Managing the Maintenance Department (a team of Artisans) in implementing both preventative and reactive Maintenance Programmes.

· Manage the User Asset Management Plan and related business plans

· Preparing monthly, quarterly and annual reports for Management and Financial Reports for Management and Council

· Managing utilities, including monitoring water and electricity consumption

Contract and Service Provider Management

· Managing outsourced service providers, including:

o Security services

o Cleaning services

o Facilities management contractors

· Monitoring the performance of all project work done by all external contractors against Service Level Agreements (SLAs).

· Managing procurement processes in accordance with applicable policies and legislation.

Financial Management

· Prepare and manage departmental budgets and expenditure (incl the OPEX and Operational Budgets)

· Develop and submit CAPEX requirements and budget motivations.

· Monitoring budget expenditure and provide variance analyses and implement corrective interventions.

· Asset and Risk Management

· Implementing risk mitigation plans and monitoring associated controls.

Occupational Health, Safety and Compliance

Ensuring compliance with:

· Occupational Health and Safety Act (OHSA)

· Applicable legislation

· Internal policies and procedures

· Coordinate responses to internal and external audit findings

· Coordinating Health and Safety Committee activities and related training.

· Managing incident and accident reporting in accordance with statutory requirements.

· Driving organisational compliance with health, safety and environmental requirements.

Leadership and People Management

· Leading, managing and developing departmental staff.

· Conducting performance management and staff development initiatives.

· Managing labour relations matters within the department.

Minimum Requirements

· An Engineering diploma with at least two years practical experience

· A relevant tertiary qualification in one of the following fields will be an added advantage

Ø Operations Management

Ø Property Management

Ø Project Management

Experience

· 8–10 years’ relevant experience in facilities, operations or property management.

· At least 5 years’ management experience.

· Proven experience managing outsourced service providers and contracts.

· Proven experience in managing maintenance programmes, infrastructure projects and operational budgets

· Experience in budgeting, reporting and compliance management.

· A proven track record in formulating and implementing medium and long terms solutions to all Maintenance and infrastructure related matters
